WANTED: A Supporters’ Trust Membership Officer

Wycombe Wanderers Supporters’ Trust is looking to recruit a Membership Officer.

Overview:

Maintaining regular contact with the Trust’s membership is a vitally important part of our work as a Trust and this role is key to that activity. The role will centre around the Trust’s new Customer Relationship Management system, VeryConnect, which was implemented in February 2024 on which full training will be given.

Key Responsibilities:

  • Have a full understanding of the VeryConnect system. Training will be provided.
  • Ensure members have provided the minimum level of information requested on Very Connect
  • Provide guidance and support to members on the use of VeryConnect
  • Provide guidance and support to board members on the use of VeryConnect
  • Ensure new members are invited to join VeryConnect
  • Ensure that any members that cease to be member of the Trust have their accounts on VeryConnect closed.
  • Ensure any communications made by the Trust to members through the VeryConnect system are correctly sent and any feedback is captured.
  • Monitor the VeryConnect system for any member feedback, trends, positive or negative threads, opinions, comments etc. and bring these to the attention of the board and membership where appropriate.
  • Regularly checking the GoCardless direct debit system to ensure all monthly and annual payments are received and recorded.
  • Interface with the Finance Leader on the Trust Board to ensure all membership payments are up to date and that there is correlation between the finance leaders records and the VeryConnect system, chasing non-payers and under-payers as required.
  • Enable the Trust to be able to communicate with its members and vice versa to the benefit of all.

Reporting Method and Frequency:

This will be developed through experience but it is expected that the VeryConnect system will provide a degree of reporting on factual data which can be presented in a simple report. This should be augmented with the officer’s own views based on interaction with members, their own feedback and suggestions and areas for improvements to be made.

Reports should be made available for each Trust B Board Meeting where the officer will be invited to attend that agenda item to present their report. It is possible that there will be some reporting at the Trust A meeting as well at which the officer may be invited to present that agenda item to the membership.

This role will provide access to information and knowledge that is potentially confidential to the Wycombe Wanderers Supporters’ Trust Board. By agreeing to take on this role you are also agreeing to keep all dealing with the Trust confidential and will not share information, knowledge, or materials with anyone outside of the Trust Board.

Candidate Requirements:

  • High level of IT skill, including experience, if possible, of working with CRM systems.
  • Ability to work on their own, once the guidelines and objectives have been set.
  • This is a volunteer role but agreed expenses will be paid as necessary.
